The role

We are looking for a Resources and Administration Assistant to support the Resource Manager and Head of Centre in the delivery of provision and commercial activity, through effective management and maintenance of the available resources and facilities. Working with the Resources Manager and other Centre management staff on supporting and facilitating the needs of current and planned provision, the successful candidate will be responsible for site processes and be the main point of contact for Resources, Facilities, Safety issues and queries outside of college hours. You will also be a key holder for the premises and ensure the maintenance of appropriate access controls to centre and office facilities, including verification of identity and signing-in procedures.

You will take responsibility for the safe and efficient operation of the site, including opening and closing down procedures. You will coordinate and administer Rockschool exams on occasional weekends and be responsible for the safe and efficient operation of the site on weekends for work to be carried out outside of college hours.

Sharing responsibility for maintaining the Centre’s resources inventories, you will liaise with your team and other departments to ensure effective maintenance, management, replacement and control of the Centre’s facilities and resources. You will ensure all centre resources are in working order and appropriate for use and you will manage the college booking system for the issuing and tracking of all resources, including ICT equipment provided to learners and staff. You will ensure that resources are effectively deployed, booked out and in, and set up throughout the Centre to support the needs of users. You will also set up rooms and organise resources & furniture requirements for training events, meetings, etc.

You will support the ICT network for the centre, ensuring laptops and desktops are appropriately configured for use and maintain staff and student user accounts working with our IT Services management, where appropriate.

You will liaise with representatives of relevant trades ensuring the implementation of systems for the monitoring and tracking of any agreed work, access to premises and work areas, completion of appropriate safety checks and risk assessments and logging of contractor’s staff on site. You will also carry out minor repairs, as required.

You will be engaging, personable and polite with good telephone skills creating a welcoming atmosphere for all guests, colleagues, stakeholders and maintenance workers visiting the site. As well as being a bit of an all-round star, we need you to be well-presented, sociable, honest and reliable.

Skills/Knowledge 

  • Ability to manage and maintain resources, equipment and ICT systems and hardware
  • Ability to apply problem-solving skills
  • Ability to work on your own initiative and to manage your workload
  • Ability to demonstrate a clear understanding of equal opportunities issues as they affect employment and individuals/teams of staff.
  • The ability to work as an effective member of a team

Experience/Qualifications/Training 

  • Experience in the use of computerised systems, including MS Office applications.
  • Some administration/reception experience is desirable
